Privacy Policy
Last Updated: September 5, 2025
1. Introduction
At Saroxai.com ("we," "us," or "our"), we are committed to protecting your privacy. This Privacy Policy outlines how we handle personal information when you use our software-as-a-service (SaaS) platform and mobile app (collectively, the "Service"). The Service helps landlords, agents, property owners, and business owners manage property inventories, track certificates, mortgages, invoices, leases, tenants, and owners, generate reports, and share them with authorized (by main account holder) individuals.
We prioritize data protection, particularly under the General Data Protection Regulation (GDPR). All user-generated content and property-related data is stored in the main user's iCloud account. We do not store, access, or process this data on our servers. Access is restricted to the main user and their designated assignees (e.g., clerks, coworkers, or owners). Due to Apple’s security protocols, our company has no access to this data, ensuring high security and compliance.
This policy applies to all users of the Service. If you are under 18, you must not use the Service unless you have parental or guardian consent. Please review this policy alongside any other notices we provide. If you do not agree, please refrain from using the Service.
2. Information We Collect
We collect minimal personal data to provide and improve the Service, including:
- Identity and Contact Data: Name, email, phone number, and billing address provided during account creation or subscription.
- Account and Usage Data: Login credentials, subscription details, preferences, and interaction logs (e.g., app usage timestamps).
- Technical Data: Device information, IP address, browser type, and operating system for compatibility and security.
- Marketing and Feedback Data: Survey responses, communication preferences, and optional feedback.
- Payment Data: Processed securely by third-party providers; we do not store card details.
We do not collect sensitive data (e.g., health, racial, or biometric information). Property-related data (e.g., tenant details, inventories) is stored solely in your main accounts' iCloud account and is not collected by us.
3. How We Collect Personal Data
We collect data:
- Directly from You: When you sign up, update your profile, contact support, or subscribe to updates.
- Automatically via the Service: Through app analytics, cookies (on our website), or usage tracking for performance monitoring.
- From Third Parties: From payment providers for transaction confirmation or Apple for iCloud-linked authentication.
- Public Sources: Limited to professional details for business verification (e.g., public business registries).
Website visitors may encounter cookies for essential functions; see our Cookie Policy for details. No iCloud-stored data is collected.
4. Purposes and Legal Bases for Processing
We process data based on:
- Contract Performance: To manage accounts, enable features (e.g., report generation, sharing), and ensure access.
- Legal Obligations: For billing, support, and compliance (e.g., tax records).
- Legitimate Interests: To analyze usage for app improvements and troubleshooting.
- Consent: For marketing updates, with easy opt-out options.
- Compliance: To meet legal requirements (e.g., GDPR requests).
Since property data is stored in your iCloud, we only process account-related data, minimizing risks.
5. Sharing Personal Data
We share limited data only when necessary:
- Service Providers: With IT hosts, payment processors (e.g., Stripe), or analytics tools (e.g., Google Analytics, based in the U.S.).
- Business Partners: In mergers or acquisitions, with safeguards.
- Legal Requirements: To authorities for audits or disputes.
- Apple Ecosystem: For authentication and storage; we do not share iCloud data.
We do not sell data. Recipients are bound by confidentiality and data protection agreements.
6. International Data Transfers
Some service providers (e.g., U.S.-based analytics) process data outside the UK/EU. In such cases, we ensure safeguards through GDPR-approved Standard Contractual Clauses (SCCs) or equivalent protections. iCloud data remains protected by Apple’s global standards.
7. Data Retention
We retain account data while your subscription is active, and for up to 12 months after cancellation to meet legal and financial obligations. Support-related data may be kept for up to 6 months. Marketing preferences are retained until you unsubscribe. You may request deletion earlier, subject to legal requirements. iCloud data is fully under your control and can be deleted at any time.
8. Data Security
We use encryption, access controls, and audits. iCloud leverages Apple’s end-to-end encryption. No system is infallible; notify us of suspected breaches.
9. Your Rights
Under GDPR, you can:
- Access, correct, or delete your data.
- Object to or restrict processing.
- Withdraw consent or request data portability.
- Lodge complaints (e.g., with the ICO in the UK).
Contact us to exercise rights; we respond within one month.
10. Policy Updates
Updates are posted here with the date shown above. If we make significant changes (e.g., to data use or user rights), we will notify you via email or in-app messages.
